Purchasing guide

Building a Purchase Plan for a Bulk Hospital Uniform Order

This guide is written for two kinds of buyers: hospital groups and purchasing teams sourcing uniforms in bulk through a Turkish manufacturer, and international or private hospitals operating inside Turkey that also have to work within the Turkish Ministry of Health's dress-code framework. That framework, set by Turkey's Sağlık Bakanlığı, governs public facilities domestically; it doesn't apply outside Turkey, but any Turkey-based purchase tied to a Ministry-affiliated hospital runs inside it.

A bulk hospital uniform order isn't just a headcount converted into a single quantity. Duty groups, colors, models and sizes need their own line items before production starts. Working with TB Uniform, the minimum order is 100 pieces per color and model, a sample is ready in 5 to 7 business days, and production plus delivery typically runs 4 to 6 weeks after order approval.

How should a hospital uniform order be broken down by duty group?

Start by listing duty groups as separate rows, not a single combined total. Nurses, physicians, technicians and lab staff usually wear different garments, and assigning one model across every department tends to create size and color mismatches once the order ships.

Planning a scrub top and pant as one set makes size distribution and delivery checks easier to manage. A physician's coat or lab coat, by contrast, uses a different fabric, pattern and intended use, so it belongs on its own line rather than folded into the scrub set.

TB Uniform manufactures medical uniforms and workwear in Istanbul and can produce scrubs, nurse uniforms, physician coats, surgical sets and lab coats. For the full product range, see the wholesale medical uniform page; for the procurement side of a formal purchase, the hospital uniform tender guide covers that process in detail.

What document should the color plan be checked against?

Public hospitals shouldn't fix a color or model decision from memory. A Ministry of Health-affiliated facility announced on December 24, 2025 that staff dress had been updated under the Ministry's Corporate Identity Guide. Tepebaşı Oral and Dental Health Hospital, also Ministry-affiliated, confirmed it moved to the new uniform standard starting June 1, 2026.

A color code, Pantone reference or logo placement shouldn't be set from memory either. The person placing the order should check the current version of the applicable official guide alongside the institution's own internal decision. Private hospitals can build their own role-color systems. Don't assume a public-sector standard carries over automatically to a private facility. Confirm with your institution's compliance officer before locking in a color or model decision.

How should size data be collected across a hospital staff?

Don't stop at asking each employee for their everyday clothing size. Share the manufacturer's actual measurement chart and have staff choose sizes against that chart instead. A sample size set, or a representative fitting session, is especially useful on large teams with varied body types, since it surfaces sizing mismatches before bulk production starts.

Cases like modest-fit requirements, pregnancy, mobility limitations or a need for half sizes should get their own column in the order table rather than being folded into a general note. If the size list includes employee names, access to that data should be restricted internally; in most cases, sending the manufacturer department, size and quantity is enough without names attached. Spare-stock quantity per department is a call the purchasing team should make based on its own staff turnover rate, not a fixed rule from the supplier.

How should sample and logo approval be run?

TB Uniform's sample lead time is 5 to 7 business days once the model, fabric, color and logo file have all been finalized in a production-ready form. A hospital logo can be applied by print or embroidery, and TB Uniform runs both processes in-house. Logo size, chest placement, thread color and application method should all be checked on the physical sample, not approved from a digital mockup alone.

The sample approval form should record the product code, size chart, fabric description and color reference. A pocket or collar detail changed after institutional sign-off can push back the bulk production schedule, so revision requests need to be resolved on the final sample before the order is confirmed. The corporate identity uniform design guide covers how duty colors and logo application come together in a single reference file.

How should certifications be read in a purchasing file?

OEKO-TEX STANDARD 100 screens textile components for harmful substances. ISO 9001 sets requirements for a quality management system and, on its own, doesn't prove a fabric's protective performance. GOTS covers the processing and supply chain of organic textiles. The European Commission's REACH explainer states that the regulation is meant to protect human health and the environment from chemical risks.

Listing a certificate name in the spec isn't enough on its own. State clearly which product, material or management-system need the requested document actually answers. If the hospital uniform will double as protective clothing, a separate, appropriate document is needed to cover risk and product performance.

How should the delivery timeline be checked?

TB Uniform's production and delivery time is 4 to 6 weeks from order approval. That clock starts on the date the sample, size chart, colors and logo application are all confirmed in writing. Delivery checks shouldn't stop at counting cartons; the hospital's purchasing unit should compare incoming products against the order table by model, color, size and logo application. Defining the inspection method in the contract or order form in advance reduces the risk of a dispute later.

Monthly capacity, depending on the product group, can run up to 50,000 pieces. The exact production sequence and delivery date depend on the hospital's confirmed product mix. For a sample and quote, contact TB Uniform.

Frequently Asked Questions

What's the minimum order for hospital uniforms?

TB Uniform's minimum order is 100 pieces per color and model. If a hospital uses separate colors for two duty groups, each color counts as its own production line item. Sizes can be freely split within the minimum quantity, but whether women's, men's or different cuts count as separate models needs to be clarified before ordering.

How many days does it take to prepare a hospital uniform sample?

Once technical details are finalized, the sample lead time is 5 to 7 business days. The sample is checked for pattern measurements, fabric, color, pockets and logo application. If the hospital requests a revision, the final sample can be resubmitted for approval, and bulk production should only start once the institution has accepted that final sample in writing.

Can a hospital logo be embroidered?

Yes. TB Uniform runs both print and embroidery in-house. Embroidery size, thread color, logo orientation and placement on the garment should all be approved on the physical sample. For very detailed or oversized logos, the fabric structure matters, and the choice between print and embroidery should be based on care requirements as much as appearance.

What's the delivery time for hospital uniforms?

Production and delivery run 4 to 6 weeks from order approval. Order approval means the model, fabric, color, size breakdown and logo application are all finalized. A sample revision or a quantity change can shift the approval date, so the firm delivery date should be set in writing only after the product group and order composition have been evaluated.

Are Ministry of Health colors mandatory for every hospital?

Public health institutions should base their decision on the current Ministry of Health guide and any official instructions sent to their own facility. Don't assume a public-sector practice automatically creates the same legal obligation for a private hospital. Check the guide in force before deciding on a color or model, and consult your institution's compliance officer.
